What information we collect

We only collect the personal information we need to deliver our services, run our organisation and keep you informed. This may include:

  • Payment information processed securely by Stripe. We do not store full card details on our own systems.
  • Details about your missing dog or search situation when you use our tracker, posters or contact forms.
  • Volunteer registration details, agreements, references and training records needed to safely deploy volunteers.
  • Information you provide when completing course enrolments, assessments and the Lost Dog Safety Register.

How we use your information

We use your personal data to:

  • Coordinate and carry out searches for missing animals.
  • Communicate with you about your search, enquiry, purchase or volunteer application.
  • Process payments for courses, merchandise, events and donations.
  • Provide online learning, track CPD points and manage the Lost Dog Safety Register.
  • Send you updates you have agreed to receive, such as newsletters, event invitations or operational notices.
  • Comply with legal obligations and protect our legal rights.

Lawful basis for processing

We process personal data on the basis of consent, contract, legal obligation or legitimate interests, depending on the situation. For example, we need your contact details to perform a search you have asked us to carry out, and we may process volunteer data to meet our safeguarding and insurance obligations.

Sharing your information

We do not sell your personal data. We only share information when necessary:

  • With search team members and volunteers directly involved in a search.
  • With payment processors such as Stripe to complete transactions.
  • With email delivery services to send confirmations, updates and notifications.
  • When required by law or to protect our legal rights.

How long we keep your data

We keep personal data only for as long as we need it. Search records and volunteer files are kept for operational, safety and legal reasons. CPD points and Safety Register entries are kept for two years from the relevant activity date, unless you ask us to remove your data sooner.
